Mentoring responsibilities should be integrated into performance evaluations, development

plans, and recognition and incentive programs to ensure effective implementation. Recognition and

incentives will provide the positive reinforcement necessary to motivate mentors to provide ongoing

support (Guerra, 2023).

3. Embed Documentation Practices into Daily Workflows

Lightweight documentation should be integrated into regular activities. Instead of large data

dumps after the project, documentation such as meeting minutes, recorded walkthroughs, and

screenshots should be migrated to the knowledge database. This iterative and proactive approach,

recommended by NASA’s knowledge management model, will significantly reduce the necessary

workload for building the tool and support long-term cultural reinforcement (Insight, 2024).

4. Establish Quarterly Review and Feedback Loops

Program feedback, collected through short surveys, focus groups, and interviews, should be

gathered quarterly to facilitate continuous program improvement. Maintaining feedback loops is

essential for achieving sustainable outcomes (Pereira, 2024).

5. Sustain Leadership Support and Visibility

Leadership should model participation and reinforce the value of the program over time.

Leaders should participate as mentors, share knowledge in recorded sessions, and champion the

program organization-wide. Sustained leadership engagement will help overcome cultural resistance

and increase the long-term value of the initiative (Kotter, 1995).

6. Invest in a Scalable Knowledge Hub

The knowledge retention hub should evolve into a more advanced platform. For small

organizations and in initial phases, a document repository may be sufficient, but at scale, an
